This bizarre, she just called me, but it's not showing up on my recent list.
Jan Jones
01:11:16 PM
I did. Do you think this is a google chrome issue?
They go, she's back in. Do you think this is Google Chrome Issue?
It works best in Google Chrome. You don't say broadcast video.
Should be in the top right of your screen.
I refreshed it. Leslie was texting me. I think the same time you were Andy.
And she said refresh your screen. So I did and it popped up.
I just updated your permission so you should be good now.
Engineering folks for next week have the same problem.
They shouldn't. They have the same permissions as Jan, but I'll double check.
Alright, see where someone?
I kinda think I did that like 3 times Andy I can't I think I don't know I went to Google settings just to make sure Chrome wasn't blocking something.
Maybe it was the way. See NBA has our setup, I don't know.
Yeah, Chrome is the best one to use for this. I'm using Chrome right now.
What good good I didn't know. I know we're the only wants to use Gmail, so I didn't know.
Yeah, that that that causes as all hell.
We can never find you in the directory and we have to, uh?
We can get around it, uh?
Alright, so a couple of things on the screen you've got so left hand side there's the chat panel.
Yeah, so you should see chat questions and participants.
When the participants come in.
Uh, it will list them all in that panel. Right now it just shows you and I.
And if I remember rightly, if they're in the system, you can click on them and you can find out you know.
You know Bob is marketing Ms or whatever, so.
Uh, which is which is really nice 'cause you can quickly go OK? Who is that guy who's ohi is in finance? That's his problem now, sorry.
What I'm gonna do though is I'm going to set myself up as the moderate are 'cause I think I think. Well, I just checked. There were nine students signed up now.
But, uh, all the questions come in, but the moderate are can basically filter them.
So for example, last time one guy really wanted his question answered, so he kept just hitting, submit, submit, submit, submit, submit, submit and it's just like, OK, So what that will do that? I mean it it will be filtered for you.
Yeah, uh, so the other thing. So if you go to the right and you look at the far right hand side you see settings.
And that's where we can upload the PowerPoint. So did you? Did you update that PowerPoint on the box folder?
I saved it. I mean it automatically saved in box.
Alright, OK, uh I went back in and I took the I'd left a slide in there about fellowships, so I removed that. That's not really relevant to this crowd. What I'm going to do right now is load that PowerPoint.
And I think he's been in two other sessions are.
Are you gonna answer that one guys pre question about what happens if they don't get a visa? 'cause I don't know.
Not sure if that's actually done anything yet.
Alright, do you see me now?
Oh well, your videos on actually I think that's just the button you Click to turn off your video. It's green, it's off, which is somewhat counter Intuitive.
Yeah, so I can see you just fine. I think. I think the slides issue will resolve itself when we come back in, 'cause usually I.
I have to. We haven't had much more problem with that.
All right, watch, it might just take a moment.
Uh, I'm going to try sharing my screen with you, uh.
Can you see my screen now?
I know what I want to do is quickly show you some things in slate. Those yeah, since you're here.
So, uh, let me step into another window.
Can you see the? Uh, it's like a slate, reports slide.
Alright, so So what we're on now is the main slate window when you log in as a not regular user you would see this window.
And what you see in there is a listing of the different grad school folks who are using this, and then the count is actually how many?
Emails we haven't answered, so you see, I'm kind of a slacker today.
So it allows us to keep track of that and then also if I click on this prospects tab.
I can actually get a quick overview of our prospects who are loaded into the system.
So race, gender, citizenship, residency. Then I can look at application numbers quickly so I can see how many we have ready for review. How many have made decisions? How many are outstanding, how many referred to department's.
I can look at applications by college, again, by gender, by residency by Major and so big.
Yes, so there's a lot of information and then very importantly right now involvement. We can see how we're doing with.
So again, you can see by race, gender and we can customize all this through the Woods, ooh.
Uh, another really nice thing is if I go to this reports tab.
Uh, I can go. I'll show you some premade reports, cyclic reports there.
And if I go to four graduate application report new.
This is a running report that we have that's updated each day and it tells us our application total.
Compares it to 2019. Sees where we're at. All that's, uh.
And then gives a nice ground. He compares to 2019.
And still loading some stuff here just one 2nd.
Yeah, so then we can go down and look at this one set up to look at applicants by ethnicity.
And then we can start to look at applicants by college and I can click on say, for example. Well, let's go to business. I click on business, I can see general business and then I can break it down to accounting, MA, accounting, PhD. I can immediately see how.
Yeah, they should be listed under yours.
Oh, we probably actually duplicating those numbers there, so we want to see how many there are in there, but we're not. We're certainly not subtracting it from your numbers.
Oh no, no no. So yeah, I mean a sensually college continuing studies doesn't really have any students.
Yeah, if you're down here, we can look at you admit by student type. You know we're always looking very closely at first time graduate students as they dictate for future years in state residency sex.
A race ethnicity, uh, you name it.
Oh yeah, this and why things we can do is we are actually setting this up to Automate some of our surveys so it right now, for example, counseling grad schools we have to do a big survey for them and some of our definitions of.
Subjects don't match there, so we have to spend a lot of time setting this up.
But we're just going to have report running on this note takers. You know, 30 seconds to then transfer the data, the report.
Oh well, that's something we know. Engineering is on board with that, uh.
You know they're a little bit. They have a little bit more flexibility with test scores, but you know Susan was asking the other college Deans if they might be interested in this and want one important piece of information is this is not something we thought up. This is something that Kevin Whitaker came to us and said.
Well, it's not like they're they're all sign up for this.
But yeah, and Engineering is going to be very similar, very similar numbers.
Yeah, so you know it's it.
Yeah, well, ultimately this is going to be up to K and the different Department chairs if they if they want to do this.
Well, if if these are UA students, they can reapply.
If if then not UA students are, it's not relevant to them because you know the reason we can do this. We know these students.
Yeah, so we had some similar issues when we waive the jirari requirement we had. We had some people come back to us and say, Well now you don't require the Jirari. Surely you admit me, it's like, Well you know it. The Test score is not the only thing we look at.
Yeah, if we've got it, we've seen it. We know what it is.
We could not be flexible.
Well let me show you some other things So what my groceries on right now is the sleep reader I don't nothing set up in there right now but that's why you're.
A review applications and you are going to be blown away by the application review utility. Basically it presents just.
Each of the documents and you can quickly just swap through the different documents.
People are going to be really excited by this, and there's a Android app. There's a Apple App. All that sort of stuff.
Yeah, this is our dashboard for when we're looking at emails, so you know. So for example this. I know I can see here.
You know this is the email I can quickly see that he has sent a lot of other emails.
So this is kind of talisma like functionality.
OK, just do the moment to update.
Yeah, so, uh, yeah, so I can see I can see the history of what he said.
Which is always useful because they say, Well, you know, Leslie told you this as well. Two weeks ago, Jan told you this three weeks ago. Really, this is. Yeah, we're not.
No, we we, you know people go fish run a better answer.
Yeah, so that's the in box. One of the things we can do, you know this is my inbox. I can actually go and look at the Graduate School in box and these. These are two emails that have come in have been assigned to someone.
We do have a lot of emails who automatically assigned based on the email, so if it's so, for example if it is.
Question coming in. It gets automatically sent to Patrick.
Uh, see forms. Yeah, so this is, you know we can set up some forms.
Brittany set up a slate helpdesk request form, but we can set up all sorts of different forms.
And then events. So you came directly into this event. If you came in through the normal slate interface.
What you'd see is a calendar like this.
And each one of these are events that we have running and you can click on that.
You can see you know when it set up. You can see who's invited. All that sort of stuff.
Ah, so you can see we're doing a lot and one of the things we are doing, and I think so you see these orange ones.
These are virtual office hours, which are counselors are going to be doing starting hopefully next week.
And that's when you know that just available on slate for an hour and people can come in and ask questions.
And you know, so this year we can set up.
The way events are running this is absolutely brilliant, so.
I'm sure you've struggled with the same sort of thing setting up events you know.
Using whatever tool you can to get people registered, you know we've used Qualtrics before, which is a horrible tool to do this with.
Yeah, and we've done some similar things to that, but you know, it's not, it's just.
Yeah well, this one you know you say.
You know, so for example, where can I run orientation off this this year so we will just pull a pull the list of all the new students?
Will set up the event. There will be a registration form for them.
We will have automatic mailers going out.
And you know it's it's. And then of course, you know survey going out to them afterwards is all automated.
Yeah, the events weaved run through this are have been absolutely brilliant.
Somehow, is well, you can also do your travel on this as well.
No, no, we don't do it, but let me go back to.
Yeah, let me get back out of here 'cause That's just too many.
Yeah, that was too many screens.
Yeah, try refreshing again.
OK, that worked, so now we know refreshes the new control alt delete it fixes everything.
Alright, if I change slide can you see the new slide?
I can I see all the slides below 2.
OK good good alright, uh, I did want to show you one other thing actually sharing screen. I forgot one thing so let me go back to sharing screen.
Alright, so in events, if I click on the event today.
Uh, I can see a whole bunch of information here about who created this. All this sort of stuff.
Uh, I can see down here who's registered.
So then I can click on one of these folks and I can see it's Mary Strickland.
And now I can go out to her profile.
And I can see what she has done when we've sent emails when the email has been opened, so that's the sort of green and.
Orange dots the blue dots are when she clicked on something in the email.
Uh, she is let me look at her profile.
Materials I can see how unofficial jirari hang on.
She is business Analytics.
I think she's a math teacher who quit. Come back to school.
Oh, in this one this one's called with the timeline so I can see exactly when she, you know the Mailer she had.
You know what she's received over the.
The month she is being quite busy with emails.
Yes, so you know that is one derful wonderful functionality. Let me go back to events here.
Kidding, oh, that's not what I want.
What I'm trying to get to is oh so.
Export data, maybe that's The One I want. Yeah, so on the list here I can see what some of the questions are so.
A rush odd. What is the biggest change, study and communication wise from undergrad to grad school?
Are Rashad's last name is Bennett.
Do we know what programming Zen?
Yeah, and then we have Bailey Clark. What's the deadline to register for classes?
Do we need to remotely meet with advisor, says a couple of questions which.
Right up your alley. And then we've got after our Korean friend.
So most of them. Other than that ecan PhD that Emba, I'll do the best, but they have their own.
Yeah, a lot of these questions attended for being more general than very program specific, though. I mean with me, not the thing I've learned is a lot of these kids just want reassurance that you know we're going to have class somewhere other.
Is there any way to tell from Bailey Clark whether or not she's distance learning or main campus?
Let's take a look at her AH record.
So she is our marketing friend.
Because my answer depends if she's distance learning, we don't know his classes for cap capacity. If she if she.
Hey, you see you see the.
You see the compared to here.
OK, it probably doesn't show up very well on your screen.
But when a student is sent a admission letter now if they've just been admitted, we actually superimposed confetti over the screen.
So let's see make she's main campus. So you see right here.
OK, and that that effects my answer because Buster do the waiver, we're probably going to have to start waitlisting students soon. 'cause we're out of capacity in the classrooms.
Well, that's a good problem to have.
Yeah, so I'm trying to encourage everyone to register as soon as they are admitted.
And that will engineer. That will guarantee they have a seat.
Yeah it is a good problem, but an it this is one thing Andy, I don't know um.
How we can ever address it? Because if you didn't know, Buster probably has 65 amp students.
Out of 120, but if we say we're busting out at the same's and you look and you'll say, well, then you only have 65 an I'll be late, but I've got 120 taken class. You know what I mean?
There there has some way.
Not all the time I get this. They don't need to be double counted. I understand that totally with that would inflate our numbers and it's unethical, but when we're talking about how many weekend our capacity is, they have to be included 'cause they're taking up a seat in the classroom.
Oh absolutely yeah, no with without a day and.
So you know, somehow I guess I need to just send you a report every semester and say we emitted this many. As you can see it's late, but the enrollment number add 15 accelerated Masters finance or 10 accelerated math because each finance a Nikon is.
Yeah, well, once you know we're still getting slate up and running right now.
Oh, once we are fully set up.
We will we will actually right. Right now there's only the only students are in here are admitted students and admitted students who just involved.
The involved student data belongs to the registrar.
What we're trying to do is get access to the involved student data so that we can import that into slate. So then what we can do is more easily run customized reports that would actually be able to look at.
You know, if we want to see how many is in, how many are in Busters class, we will be able to run it off.
The amp attribute as well.
And so right now we don't easily have that flexibility now, having us being able to see that enrolled student data is like pulling teeth with the registrar.
We we had the most frustrating meeting. One of most frustrating meetings I've ever been in.
Well, I'm not quite sure if we're waving it. Well, actually, for those folks we are 'cause they UA students anyway, so.
Well, most a lot of these folks will go into the same program.
Oh, I know. I know exactly what you're saying.
We're still trying to workout some of this. To be perfectly honest so that the email conversations going on in grad school like OK. How do we do this? 'cause 'cause we're actually talking about ways in the statement of purpose as well?
And we're not even sure how to do that with our application system.
And one of the issues we have right now.
You knew actual well, yeah.
Yeah, so actual was our IT guru.
And we were in the midst of hiring a new person. When this hiring freeze hit.
Yeah well, especially it's you know, we actually applied for a waiver because we said look here. It's kind of important that our application system works and we submitted that two or three weeks ago. Haven't heard anything back.
So things that keep me awake at night, right right now are falling moments. And what happens if our application system breaks?
And that's really you know what we're doing is we're just, you know, we hope everything is fine, but we're trying to do as much as we can, just in case it's not.
Yeah, the there was an article in the Chronicle of higher education yesterday.
That talked about, you know, schools who you know we're very fearful of fall enrollment.
And they particularly pick, they said a particular risk are.
Large public universities in smaller states with football programs, and they said like the University of Alabama.
Alright, so I'm looking some logistic.
The Do you want to do the intro to this?
OK alright so I'll go ahead I'll do the intro I will give a quick blurb about kovid.
Oh, why you a do you want? Do you want to go with that one? 'cause that one you can really talk about the rankings of the programs and all that sort of stuff.
And then campus life do you want to take that one.
It's some some folks have been asking. Hey, you know, is it nice on campus? What's it like in town? What's what we have to do? So I mean, we can. We can handle that one together.
Yeah, that is a primary concern of our grad students. We have the undergrads. OK, let's not go there.
I will update the pre submitted questions.
And then after that, we'll just see if they have any questions.
Alright, we'll see you in now.
I better turn my ringer off.
I know and I know it's crazy time.
We tried to do group me when it first started, but we have a lot of good people, but some of them are silly and they'd show what they their pets were doing. and I was just like.
Done no, no. I love you all but no.
Well, actually I'm gonna one up. Yeah, we're having a zoom happy hour at 5:00 o'clock today.
We thought about noon, 'cause it's five o'clock somewhere, but we stuck with Central time.
You are. You're you're there for the duration.
Did you find it hard though Andy? Like do you feel like you don't ever get away from work now?
I mean like we worked from home, we'd answer emails here or there, but it was still are safe haven.
Right, I'm making myself not work on the weekends. I'll look at emails and if I think it needs to be answered right away, I'll answer it, but otherwise I'm just waiting. You know, if it's a generic question, I'm just waiting.
Yeah we do, and at first I didn't because I knew the students were panicking, you know, but now that we're going on what the 4th week?
And I don't, I mean this in the nicest possible way, but sometimes it felt like if the people above us would quit asking us for reports, we could actually get some work done.
They want routine and retention reports, but I don't have time to do recruiting retention, 'cause I'm always doing reports.
Pretty good, just finished up a test earlier so a lot better now.
Yes, I'm still in Tuscaloosa.
I don't even see a countdown timer right now.
Yeah, almost a year exactly, yeah.

I think like you said, it's just the energy just walking around campus. Everyone has a smile on their face. Everyone is that some of the nicest people you'll ever meet. Just everywhere you go all over campus.

I don't think I could talk about about him.
Coming up disappointed, you gotta come up with something.
Yeah no, no question. I mean this is this is an easy crowd.
You know, if I were talking to engineers, they're very leverage shy. Typically. Colby Colby an exception, but.
So we certainly have a couple of business analytics folks.
Yeah, Business Administration.
Alright, we just had a couple of questions come through.
Let me Debbie pass them onto you.
Mary S.
03:29:56 PM
Not specifically. We have heard some information from Freeman about it!
Best from one of our business analytics people I think.
Do you see that one in the quote from the chat?
Bobby W.
03:30:10 PM
Do you happen to know the classes we are supposed to take for the fall for the JD/MBA program?
Minor slowly loading in two or three just popped up.
So let me let me read. So, uh, one of the questions so that we've heard from Freeman. Nothing is Nicholas Freeman, the.
Yeah, so that's business analytics and then.
So do you see the JD MBA question?

So I think we're going to wrap up, but I do not want to make one last pitch. You know, we talked about student associations. I would encourage you all to join or actually be. You will all by default be members of the graduate student Association, but do participate. That's a good way to.
Meet some people outside of your program. You know we always worry about grad students, not sort of getting outside of their building, but that's a good way to get outside your building. Lots of free food, lots of great events, and it's a good chance to find a group which really advocates for grad students, so there's any concerns you have as a grad student talking to grad students Association is a good way to have those hood.

But it gave me a few more years in Ttown...Roll Tide.
I just saw a great comment from Bobby. He knows is a hard path, but give him a few more. Tap few more years in T town.
Exactly so thank you so much for joining us today. Uh, Roll Tide.
